Vendor and maintenance oversight is a core component of Alfa Homes’ full-service association management platform. Our role is to provide structured administrative coordination that supports board-approved maintenance activities while maintaining proper documentation, compliance tracking, and follow-through.

Alfa Homes operates as an administrative partner to the Board of Directors, ensuring vendor activity aligns with board direction, approved scopes, and the Association’s governing documents.

Scope of Administrative Oversight

Alfa Homes provides administrative oversight and coordination related to vendor and maintenance activities. Services may include:

Vendor coordination and scheduling

Scope alignment with board approvals

Insurance and compliance verification

Work order tracking and documentation

Follow-up and status reporting to the board

Maintenance records organization

All vendor-related activities are coordinated within the authority granted by the Board and as defined in the executed management agreement.

Authority, Limitations, and Risk Control

Alfa Homes does not self-perform construction, repair, or maintenance work unless separately contracted in writing. Vendor selection, contract execution, pricing approval, and scope authorization remain the responsibility of the Board of Directors unless explicitly delegated.

Alfa Homes does not warrant vendor workmanship, guarantee outcomes, or provide engineering, construction, or technical opinions. Vendors perform work independently under their own contracts, insurance, and professional responsibility.

This structure preserves proper risk allocation and governance while maintaining organized oversight.

Our vendor oversight framework is designed to reduce administrative burden on board members while maintaining visibility and control. Emphasis is placed on documentation, compliance tracking, and clear communication rather than informal or ad hoc coordination.

In select situations, limited-scope administrative oversight may be provided for specific maintenance coordination needs under a separate written agreement. Such arrangements are clearly defined and do not constitute full association management services.
